2016 International Data Rescue Award in the Geosciences Contest Official Rules

Eligibility: The 2016 International Data Rescue Award in the Geosciences jointly sponsored by Interdisciplinary Earth Data Alliance (IEDA) and Elsevier (“Contest”) is open to individuals worldwide (excluding residents of Cuba, Iran, Syria, North Korea, Sudan) who (a) have attained the age of majority at time of entry and (b) are researchers in the geosciences field. Entrants may be subject to rules imposed by their institution or employer relative to their participation in trade promotions and should check with their institution or employer for any relevant policies.
Entry Period: This Contest commences on June 1, 2016 and shall end at 11:59:59 P.M. CEST, 16 October, 2016 ("Entry Period"). Sponsor's server is the official clock for the Contest.
How To Enter: During the Entry Period, all potential entrants must (i) visit https://www.elsevier.com/physical-sciences/earth-and-planetary-sciences/the-2016-international-data-rescue-award-in-the-geosciences/idra-submit (ii) complete an entry form and (iii) submit the entry form directly to D.Lovegrove@elsevier.com (collectively an “Submission Entry”). No changes may be made to a Submission Entry once it has been submitted. All Submission Entries must be in English. Incomplete, illegible or garbled Submission Entries will be disqualified. Any Submission Entry must be fully completed and submitted by the end of the Entry Period in order to be eligible for entry into the Contest. No alternate means of entry permitted. LIMIT ONE (1) ENTRY PER PERSON. All Submission Entries become the exclusive property of Sponsor and will not be acknowledged or returned.
Submission Requirements: Each Submission Entry must comply with the following requirements (the "Requirements"):
- Complete a template that describes different aspects of the data rescue project, including:
- examples of the data as they looked before and after the rescue process,
- a description of ways, in which the data could be or are used after being made available electronically,
- a description of metadata, models and standards and the recognized data repository or collection to make the data available for re-use, in a sustained manner,
- a description of the rescue process, whether manual, automated, or a combination of both.
- The final submission deadline is 16 October 2016.
Sponsor reserves the right to exclude or disqualify any Submission Entry in which the submitted story does not meet, or may not meet, these Requirements, as determined in Sponsor’s sole discretion.
Selection of Winners: One (1) winner will be selected by our panel of seven (7) judges (the "Panel") by applying the following judging criteria:
A. Accessibility, usability and sustainability.
This criterion refers to the extent to which the data can be broadly and publicly used.
Is the data:
- Deposited in a sustainable and certified repository? It must have been deposited in a repository which is recognized.
- Openly accessible to a broad audience?
- Described with comprehensive documentation of data quality and provenance (readiness for re-use)
- Annotated following existing data standards (readiness for interoperability)
B. Information value of the data set.
This refers to the intrinsic value of the rescued data collection.
- Uniqueness of the data set
- Coverage of the data set – what subfields of the geosciences does it cover?
- Size of the data set
- Does it cover an identifiable gap in current data resources – is it a ‘missing link’?
- What potential user communities could be interested in this data.
- Impact of the data set
C. Quality of the rescue process.
This criterion refers to the rescue process (as opposed to the data itself).
- Difficulty of the rescue operation itself – process
- Creativity and uniqueness of the approach
- Labor factor – was there endless repetition that went into preparing this data, was it labor intensive?
- Documentation of the lessons learned
D. Merits of the approach
This criterion pertains to the approach taken and the value of the use case altogether.
- How does this use case contribute to a description of best-practice for data rescue in the geosciences?
- What possible future work is enabled because of this data?
- How reusable is the approach for other data rescue efforts?
Decisions of the Panel will be final and binding in all respects. This is a contest of skill. Your odds of winning depend on how well your Submission Entry compares with others submitted to the Contest pursuant to the judging criteria. Sponsor, as determined through sole discretion of its Panel, reserves the right to not select a winner if it determines that the Submission Entries do not meet, or may not meet, these judging criteria.
Prize: One (1) winner will receive a five thousand dollar (US $5,000.00) cash prize. All expenses including, but not limited to local, state, or federal taxes on the prize, are the sole responsibility of the winner who may elect to consult their own personal tax advisor as to the treatment of the prize for tax purposes. The winner will be required to provide his/her Social Security number or tax ID for tax reporting purposes as the Sponsors will file an IRS Form 1099 with the Internal Revenue Service for the fair market value of prize.
Notice to Winner: The winner will be notified at the 2016 American Geophysical Union Conference in San Francisco, California on or about December 16, 2016. The winner may be asked to execute and return to Sponsor a declaration of eligibility and liability/publicity release, where lawful, within fourteen (14) days of attempted notification. If a prize notification is returned as undeliverable, or if a potential winner does not return the signed claim forms within the required time, or is otherwise found to be ineligible or not in full compliance with these Official Rules, then the potential winner will be disqualified and an alternate winner will be selected based upon the judging criteria.
Limitations of Liability/Reserved Rights: Neither the Sponsors, its parent, subsidiary or affiliated companies, shall have any obligation, liability or responsibility with regard to (i) Submission Entries that contain incorrect or inaccurate information or do not comply with these Official Rules, (ii) Submission Entries, prize claims or notifications that are lost, late, incomplete, illegible, unintelligible, damaged or otherwise not received by the intended recipient, in whole or in part, due to computer, technical or other error of any kind, (iii) telephone, electronic, hardware, software, network, Internet or computer malfunctions, failures or difficulties, (iv) any condition caused by events beyond the control of Sponsors that may cause the Contest to be disrupted or delayed, or (v) any damages or losses of any kind caused by any prize or resulting from participation in the Contest, accessing, uploading or downloading data in connection with the Contest, or acceptance, possession or use of any prize. If for any reason the Contest is not capable of being executed as planned, or infection by computer virus, bugs, tampering, unauthorized intervention, fraud, action of entrants, technical failures or any other causes which in the opinion of the Sponsors, corrupt or affect the administration, security, fairness, integrity, or proper conduct of this Contest, Sponsors reserves the right at its sole discretion to disqualify any suspect Submission Entry or entrant and to cancel, terminate, modify or suspend the Contest. In the event of any cancellation, termination or suspension, notice thereof will be posted at https://www.elsevier.com/physical-sciences/earth-and-planetary-sciences/the-2016-international-data-rescue-award-in-the-geosciences and the determination of the Contest winner will be made per the Requirements from among all eligible, non-suspect Contest Entries received as of the date of the termination, cancellation or suspension, as Sponsor determines in its sole discretion provided that in such circumstances Sponsor reserves the right not to award any prize.
Release: BY ENTERING THE CONTEST, THE ENTRANT AGREES TO RELEASE AND HOLD HARMLESS SPONSOR AND ITS PARENT, SUBSIDIARY, AND AFFILIATED COMPANIES, AND EACH OF THEIR DIRECTORS, OFFICERS, EMPLOYEES, REPRESENTATIVES, VENDORS, AND AGENCIES, FROM ANY AND ALL LIABILITY WHATSOEVER, AND WAIVE ANY AND ALL CAUSES OF ACTION, RELATED TO ANY CLAIMS, COSTS, INJURIES, LOSSES, LIABILITIES, OR DAMAGES OF ANY KIND (INCLUDING, WITHOUT LIMITATION, PERSONAL INJURY, DEATH, DAMAGE TO OR DESTRUCTION OF PROPERTY, RIGHTS OF PUBLICITY OR PRIVACY, DEFAMATION OR PORTRAYAL IN A FALSE LIGHT, WHETHER INTENTIONAL OR UNINTENTIONAL) ARISING OUT OF OR IN CONNECTION WITH THE CONTEST OR THE ACCEPTANCE, POSSESSION, OR USE OF ANY PRIZE, WHETHER UNDER A THEORY OF CONTRACT, WARRANTY, TORT (INCLUDING NEGLIGENCE, WHETHER ACTIVE, PASSIVE, OR IMPUTED), STRICT LIABILITY, PRODUCT LIABILITY, CONTRIBUTION, OR ANY OTHER THEORY, TO THE EXTENT PERMITTED BY LAW.
Consent to Use of Personal Information: By accepting a prize, a winner acknowledges compliance with these Official Rules and agrees to permit Sponsors to use the winner’s name and institutional affiliation in any media for any commercial, advertising, publicity or promotional purpose, without limitation or additional compensation or permission, unless prohibited by law or the winner’s institution.
Right to Use Entries: However, by entering the Contest, entrants grant Sponsors a non-exclusive, irrevocable, royalty-free, perpetual, worldwide right and license to reproduce, publish, display, edit and otherwise use the submitted entries, and entrant’s full name and city and state/province/country of residence, photograph, likeness, online and in print or any other media for purposes of editorials, exhibition, advertising, publicity and promotion of the Contest and Sponsor’s publications and products, without additional compensation or permission, unless prohibited by law. Further, a winner irrevocably assigns and transfers to Sponsors all rights in their Submission Entry, including without limitation, all copyrights. Sponsors shall have the right to use/edit the Submission Entry in any manner in any and all media (including the proposed video production), worldwide in perpetuity without further compensation or consent. Upon request of Sponsors, Entrant will provide written consent to the foregoing in a form provided by Sponsors.
Construction: The construction, validity, interpretation and enforceability of these Official Rules shall be governed by and construed in accordance with the laws of England, without giving effect to its conflicts of law principles.
Rules: By entering the Contest, entrant agrees to abide by the terms and conditions of these Official Rules, which are final on all matters pertaining to the Contest, agrees to be bound by the decisions of the Panel, and warrants that he/she is eligible to participate in the Contest. The Contest is subject to all applicable federal, state and local laws and regulations.
